How Bitcounts Reconciled a 250K+ Transaction Crypto Portfolio for a German Investor

The client had accumulated cryptocurrency activity over nine years, with more than 250,000 transactions spread across 44 exchanges and wallets. The fragmented nature of the portfolio made it difficult to establish a complete transaction history and accurately track the movement and cost basis of assets between different platforms.

The engagement required more than simply importing transaction data. Bitcounts consolidated the client's historical activity in CoinTracking, matched transfers across exchanges and wallets, investigated discrepancies, and organized the portfolio according to the client's German tax reporting requirements.

A key part of the reconciliation was applying Depottrennung to separately track assets held across different custody locations and applying the FIFO cost-basis method to calculate the acquisition cost of disposed assets.

The Challenge

  • More than 250,000 crypto transactions accumulated over nine years
  • Transaction activity spread across 44 exchanges and wallets
  • Multiple exchanges and wallets containing overlapping transaction histories
  • Large volume of transfers between the client's own accounts requiring accurate matching
  • Historical transaction data originating from different platforms and data formats
  • Duplicate and incomplete transactions requiring investigation
  • Need to accurately track individual asset holdings across different custody locations
  • Complex cost-basis calculations across a long transaction history
  • Need to apply Depottrennung when determining the relevant holdings and transaction history
  • Requirement to calculate cost basis using the FIFO method for the engagement

Our Solution

  • Consolidated nine years of exchange and wallet data into CoinTracking
  • Mapped all 44 exchanges and wallets to establish the client's complete crypto portfolio
  • Matched deposits and withdrawals between the client's own accounts
  • Identified and resolved duplicate transactions generated by overlapping data sources
  • Investigated missing transactions and unexplained asset movements
  • Reconciled asset balances across exchanges and self-custody wallets
  • Applied Depottrennung to separately track relevant holdings across different custody locations
  • Applied the FIFO cost-basis method to calculate acquisition costs for reportable disposals
  • Reviewed transaction classifications and corrected inconsistent records
  • Used blockchain explorers to investigate unresolved wallet activity
  • Performed transaction-level checks across the consolidated portfolio
  • Prepared a structured and reconciled transaction history for German tax reporting

How We Reconciled the Portfolio

With more than 250,000 transactions, the primary challenge was establishing a reliable relationship between transactions occurring across different exchanges and wallets.

A transfer of cryptocurrency between two accounts owned by the same investor can appear as a withdrawal on one platform and a deposit on another. Without accurately matching these transactions, the same asset movement can be incorrectly recorded as two separate events and distort the portfolio's cost basis.

Bitcounts mapped the client's 44 exchanges and wallets and systematically reconciled the movement of assets between them.

The process included:

  • Matching exchange-to-exchange transfers
  • Matching exchange-to-wallet transfers
  • Matching wallet-to-exchange transfers
  • Matching wallet-to-wallet transfers
  • Identifying duplicate transactions
  • Investigating missing transactions
  • Reconciling asset quantities and balances
  • Reviewing purchases and disposals
  • Tracking asset movements between different custody locations
  • Applying Depottrennung where required
  • Calculating acquisition cost using the FIFO method
  • Investigating unresolved transactions using blockchain records

Depottrennung & FIFO Cost-Basis Calculation

For the German engagement, particular attention was given to the separation of holdings across different custody locations.

Depottrennung was applied to distinguish assets held in separate portfolios or custody locations when determining the relevant acquisition history for subsequent disposals. This required maintaining a clear relationship between individual holdings, transfers, and the corresponding transaction history.

After the portfolio was reconciled, the FIFO (First-In, First-Out) method was applied for the cost-basis calculation used in the engagement. This allowed the acquisition cost of disposed assets to be determined based on the relevant historical acquisition sequence.

The combination of accurate transfer matching, portfolio separation, and FIFO calculation was essential to producing a consistent and reliable tax dataset from nine years of fragmented crypto activity.

The Results

  • 250K+ transactions reconciled across nine years
  • 44 exchanges and wallets consolidated into a unified transaction history
  • Internal transfers identified and matched across the portfolio
  • Duplicate and inconsistent transactions identified and resolved
  • Portfolio holdings organized using Depottrennung
  • Cost basis calculated using the FIFO method
  • Historical transaction data structured for German tax reporting
  • A consolidated crypto ledger created as a reliable foundation for future reporting

Implementation Process

Our reconciliation process was structured into three key phases:

Phase 1: Portfolio Mapping & Data Collection

  • Identified all 44 exchanges, wallets, and accounts
  • Collected available exchange exports and wallet transaction records
  • Imported historical data into CoinTracking
  • Mapped relationships between accounts and wallets
  • Reviewed nine years of transaction history
  • Identified data gaps, duplicates, and inconsistent transaction records

Phase 2: Transaction Reconciliation

  • Matched deposits and withdrawals across exchanges and wallets
  • Identified internal transfers between the client's own accounts
  • Investigated missing and unexplained transactions
  • Reviewed asset balances and transaction flows
  • Used blockchain explorers to investigate unresolved transactions
  • Corrected duplicate and incorrectly imported records
  • Applied Depottrennung to organize relevant holdings

Phase 3: Cost Basis & Tax Reporting

  • Reviewed acquisition and disposal records
  • Applied FIFO to the relevant cost-basis calculations
  • Verified cost basis across the reconciled portfolio
  • Reviewed transaction classifications
  • Identified remaining transactions requiring clarification
  • Finalized the consolidated transaction history
  • Prepared the reconciled data for German tax reporting

The Bitcounts Difference

Large crypto portfolios require more than importing transactions into a tax software platform. When activity spans 250,000+ transactions, 44 exchanges and wallets, and nine years of history, even small reconciliation errors can affect the portfolio's transaction history and cost basis.

Bitcounts combines crypto accounting technology with transaction-level reconciliation to connect exchange records, wallet activity, blockchain data, and cost-basis calculations into one structured ledger.

For this German engagement, we also incorporated Depottrennung and the FIFO cost-basis method into the reconciliation workflow, creating a transaction history structured for the client's German tax reporting requirements.
